Completing an application in Mobility Online

By selecting a degree programme you are able to see the general content as well as the possible degree programme-specific content. You do not have to select a degree programme to see the Open University's instructions.

This page offers detailed technical instructions for University of Helsinki students applying for exchange opportunities via Mobility Online. You should first carefully read the general application instructions and the relevant call for applications as well as the instructions for planning your exchange, and find out more about the available exchange opportunities. If you have questions or need advice, contact International Exchange Services and Education Cooperation. You can also participate in an application clinic for support in drawing up your application.

Registering as an applicant in the Mobility Online system

  1. If you apply for exchange through exchange agreements on University / Faculty / degree programme level you need to access the application/ registration form once the application period has begun. Summer courses have their own application form. If you are applying for Erasmus traineeship (Erasmus SMT), Short courses or Free mover grant you can find the application forms here.
  2. Log into the system with your University username and password (the same username and password you use to log into your email).
  3. Always choose the academic year you are applying for. If you are applying for exchanges for the calendar year 2024 please select the academic year 2023-2024 or summer courses summer 2023 please select the academic year 2022-2023.
  4. A single registration form can only be used to apply for destinations offered by one Faculty / degree programme. If you wish to apply for exchange studies through several Faculties / degree programmes you must always register a new application form.

Completing the registration form

The personal details on the form are automatically retrieved from Sisu. If the information retrieved from Sisu is incorrect (e.g., your address has changed), first enter the corrections into Sisu and then start with the registration form. The information must come from Sisu, which means you cannot update your address directly in Mobility Online. Required fields are marked with an asterisk (*).

Data concerning current studies at the University of Helsinki

  • Total number of credits: Total number of credits you have completed at the University of Helsinki so far comes directly from Sisu. It is not possible to change the information. We are checking the number of credits from the transcript because in some cases the number of credits has been transferred incorrectly from Sisu to Mobility Online. The incorrect number of credits displayed in Mobility Online will not affect your application. If you have completed studies under the Flexible Study Right Scheme (JOO) at another institution of higher education in Finland and those are not yet transferred to UH register, attach the transcript concerning your JOO studies to your application as an additional document. If you have completed a Bachelor’s degree at another institution of higher education, attach the transcript concerning your Bachelor’s degree studies to your application as an additional document.
  • Weighted Grade Point Average (GPA): Copy into this field the average found on the transcript of records you downloaded from Sisu. Weighted GPA is formed of all number grades which have been registered on Sisu.
  • During the time of your studies at the University of Helsinki, have you had a pause due to military service, parental leave, sickness etc.? Please specify: Here you must provide information about any breaks in your studies (e.g., military service, parental leave, sickness absence, full-time employment or completion of another degree). Your progress in studies is one factor affecting decisions on exchange students, so it is important that you provide information about any breaks. If you have not supplied information about the duration and reasons for breaks, your progress will be calculated on the basis of the number of years you have studied, starting from the date when you received your right to study at the University of Helsinki.

Previous participation in student mobility

  • Enter information about any previous student exchange periods outside Finland, which have been included in your higher education studies or if you have previously received an exchange place via UH. If you have participated in a student exchange before your higher education studies (e.g., at general upper secondary school), you can also mention it here. An exchange during upper secondary school does not affect your chances of being selected.

Data concerning the stay abroad (NB! The stated order is binding!)

Mobility Online application form on destination

  • First select the Faculty, which has signed the exchange agreement. If you are applying for exchange destinations in the UK, please also select the department/degree programme/unit. If you are applying for university-wide destinations, please select your faculty at the University of Helsinki. (All level destinations can be added to the form). If you apply to destinations that are partners with different Faculties you need to fill in two forms. If you cannot find your faculty in the drop-down list, you can leave the field empty.
  • After this you can choose your first destination according to the offering of the University/ faculty /unit.
  • Choose the Planned Field of Study of host University according to the field you plan to study at the host University. Note that agreements that are Faculty /unit specific may restrict what you can study at the destination.
  • Stay from / Stay to: Estimate the dates of your exchange based on information for the current academic year if the information for the next academic year is not yet available. The exchange period includes orientation, courses and the final examination (not, e.g., a holiday after the exchange studies end).
    • University bilateral agreements as well as faculty and unit bilateral agreements: You can find the information in the descriptions of exchange opportunities. If the description says, for example, September − end of January, indicate the dates as 1 September − 31 January.
    • Other exchange programmes: You can usually find this information on your target university’s website.
  • Choose the Semester of Stay according to the UH semester that is closest to the exchange dates for your exchange. 
  • Indicate your second, third and fourth choices, if any, and provide the same information as above.
  • Are you applying for other exchange destinations with more than one form at the same time where the applications are for different Faculties, departments or subjects? This is mandatory if you fill in more than on application form during the same application round.
  • If you are not chosen for an exchange, are you interested in hearing about other possibilities available in your target country or target area? This means that if you are not accepted to your preferred destination, you can be retrospectively offered a place at another destination, based on your application. If you answer yes, you can be selected to a university announced in conjunction with the selection decisions for the duration of your choice without having to submit a new application. You will have one or two weeks to decide. If you wish to accept the offer, you must prepare a new learning agreement, but you need not do anything else – you will then receive a positive selection decision concerning the university in question. Answering yes does not reduce your chances of being selected to the preferred options listed on your application.
  • Which Faculty at the host university do you mainly wish to take courses from? Please list them for all the destinations you are applying to. Optional field, but especially for exchange destinations outside Europe, please list the faculty from where you have selected your courses.

Language competence

  • Enter the primary language in which you will study at the destination. NB! The assessment of language proficiency will be based on the language requirements, which means that you may have to upload a transcript of studies or a separate language certificate as an attachment to your application at a later stage. In Mobility Online, you can only enter one language of study per each target university. If you are applying to a university at which you will study in two languages, indicate your primary language of study in this section. Add also your language skills level on a CEFR scale. 
  • If your language skills do not yet meet the language....  You can e.g mention here Ongoing language courses at the University of Helsinki
  • Also state if you are going to do courses in more than one language during your exchange
     

Emergency contact information

  • Enter information about your emergency contact person. We need this information to know whom to contact should anything happen to you during your exchange.

Other information

  • Special arrangements: Enter information about any special needs, if necessary. In the case of Erasmus student exchange and other CIMO-funded programmes, you can apply for an accessibility grant if you have special needs.   • It is really recommended that you choose to share your contact data. If you do not share we may not be able to share information related to your exchange with you.

When you are done, submit the registration form by clicking on Send registration form. NB! After submitting the form, you can edit some of the the information on it until you have submitted the application to the International Exchange Services. If you wish to edit any information after that on the form, contact studentexchange@helsinki.fi.

You will receive an automatic email message about the application process as well as a link to the login page to your Mobility Online application. Carefully read the instructions you receive – at this point, you have only completed the registration form, NOT the actual application!

Application process after completion of the registration form

Log into your Mobility Online account via the email link or at https://kvl.it.helsinki.fi. Use your regular University username and password.

Under Application selection, you will see all the application forms you have registered. If you selected several destinations on the same registration form, you will see information on your primary destination in this view. Select the application to be processed. By selecting the menu at the top left, you can return to the Application selection view.

In the Show Application Work-Flow view, you will see your application information. The Necessary steps will show the sections you must complete before your application is ready. NB! The following sections must be completed in the order below (some of the sections cannot be selected before the previous section has been completed):

Mobility onlin application view

  • Display Application Data: Here you can view the information on your registration form and make changes to some of the information.
  • Upload application documents (e.g., transcript, motivation letter, learning agreement): This is the submission folder for attaching documents (a transcript of studies, a language certificate if any) as a PDF file, as outlined in the application instructions. Also use this section to upload the learning agreement and application form that you will next complete in the system.
  • Submit application with attachments: by clicking on "click to upload" button and  then tick the box and then click on Save.

Submitting an application

Applications and their attachments must be completed electronically in the Mobility Online system.

Upload the attachments listed in the application instructions (learning agreement, letter of motivation,  transcript of studies, and language certificate) to your Mobility Online application by selecting Upload application documents (e.g., transcript, motivation letter, learning agreement). You need not sign the attachments.

Once you have uploaded all the attachments, submit the application by selecting "submit application with attachments", by clicking on click to upload then  tick the box and then click on Save. Within a week after the application deadline you will see "Application documents received" as ticked by International Exchange Services in your application work-flow. This means that your application is complete. You will be contacted should there be something missing from your application you can supplement your application within set deadline.

You will receive an email about the selection decision by the date indicated on the call for applications. The selection decision will be in English and will arrive from the address studentexchange@helsinki.fi. The decision always applies to all the destinations you listed on the same application form.

Technical problems?

The electronic registration form retrieves some of your application information directly from Sisu. This means that a service break in Sisu prevents the submission of an application. If you know of any service breaks in advance, take them into account.

Special characters (^¨½*’) in the password may cause login problems. Change your password if you cannot log in with a password that includes special characters.
